Every week, students and parents contact us with the same big question: how do I study in Germany? Some are starting their first application, some are stuck on a document, some have just received their profile evaluation and want to know what it means. As our Customer Service Representative, you are often the first person they speak to, and the way you answer shapes how they feel about the whole process.
About GradGermany
GradGermany helps people build an academic and professional future in Germany. We guide applicants through choosing programmes, preparing documents, applying to universities, learning German and the steps that follow. We care about reliable support, clear communication and a service-first attitude, and we work as one team so every applicant gets a consistent, high-quality experience.
The role
This is a full-time, remote role. You will answer questions by phone, email and WhatsApp, give accurate information about our services, processes and requirements, and follow up until each person's issue is resolved.
What you will do
- Answer calls, emails and WhatsApp messages, and explain our services, processes and requirements in plain words.
- Resolve issues, or hand them to the right colleague, and follow up until the applicant is satisfied.
- Keep customer records up to date and log every interaction in our systems.
- Work with our consultants and German teaching team so people get accurate answers quickly.
- Meet our service standards and response times.
- Take part in team meetings and suggest ways to improve our customer service workflows.
- Follow company policies, including careful handling of applicants' personal information.
Who we are looking for
Freshers welcome
You do not need years of experience to apply. If you are a recent graduate who speaks and writes English well, enjoys helping people and stays calm when someone is worried, we want to hear from you. We will teach you how studying in Germany works, along with our services and tools.

- Experience in customer service or customer support, handling enquiries and solving problems efficiently. A plus, not a must for freshers.
- Clear communication and empathy that keep customer satisfaction and experience high.
- Experience working as, or alongside, customer service representatives in a structured, process-driven team.
- Strong spoken and written English. Additional languages, such as Hindi, are an advantage.
- Comfort working remotely and independently, with a quiet space for calls and a reliable internet connection.
- Good organisation, attention to detail and the ability to manage several tasks and priorities at once.
- Basic computer skills: email, spreadsheets, and a CRM or ticketing system.
