Cancellation & Refund Policy

1. Overview

This Cancellation & Refund Policy explains how cancellations and refunds work for services you purchase from GradGermany ("we", "us", "our"). It applies to payments made to GradGermany for our consultancy services through our website and student portal. By purchasing a service you agree to this policy, which should be read together with our Terms & Conditions.

2. What Our Fees Cover

The prices you pay to GradGermany cover our professional services only, for example university selection, application handling, visa process support, and letter drafting. They do not include any third-party or government fees.

3. Third-Party Fees Are Not Refundable By Us

Certain fees are paid directly to other organisations and are outside our control. These include, without limitation, the APS certificate fee, each university's application fee, uni-assist (VPD) fees, the dMAT test fee, visa fees, language-test fees, and blocked-account or insurance charges. We do not collect these fees and cannot refund them. Their refund rules are set solely by the respective organisations.

4. Cancelling a Service

You may request to cancel a service you have purchased at any time by emailing us at [email protected] from the email address associated with your account. A cancellation takes effect once we acknowledge it in writing.

5. Refund Eligibility

Our services are delivered as a series of milestones, for example preparing a shortlist, submitting applications, or drafting a letter.

  • Milestones not yet started: fully refundable. If you cancel before we have begun work on a milestone, the amount for that milestone is refunded in full.
  • Milestones in progress or completed: non-refundable. Once we have begun work on a milestone, the fee for that milestone is non-refundable, because the work and expertise have already been provided.

For bundled purchases such as the Complete Package, refunds are calculated on the milestones that have not yet been started, valued at the individual service prices listed at the time of purchase.

6. No Refunds For Outcomes

GradGermany provides professional guidance and handling. Admission, APS, visa, and scholarship decisions are made by the universities and authorities, not by us. We do not guarantee any outcome, and we do not provide refunds on the basis that an admission, visa, or scholarship was not granted, provided we have performed the agreed services in good faith.

7. How To Request a Refund

To request a refund, email [email protected] with your registered name, the service purchased, the payment reference or receipt, and the reason for your request. We may ask for additional details to verify your payment.

8. Refund Method and Timeline

Approved refunds are made to the original payment method used at checkout, through our payment provider, Razorpay. Once a refund is approved, we initiate it within 5 to 7 business days. Depending on your bank or card issuer, it may take an additional few business days for the amount to appear in your account.
