10 Documents You Must Carry to the German Embassy
TL;DR: Ten items, originals plus copies: passport, admission letter, blocked account proof, health insurance, APS (where required), academic documents, language certificate, financial documents, biometric photos and the completed forms. In India the forms are now filled in inside the Consular Service Portal before you get an appointment link, and at the counter you need originals or copies certified by a German authority. Indian notary attestation and apostille are not accepted.
The officer at the counter is working through a checklist, and your file either matches it or it does not. Nothing about your profile compensates for a document that is not in the folder. Here is the folder, in the order it should be stacked.
The order changed: upload first, then carry the originals
Most German national visas from India are now applied for online through the Consular Service Portal. The mission is explicit that where the portal offers your visa type, using it is obligatory, and that the appointment link only appears at the end of the online process. Book an appointment without having uploaded the application and completed the pre-check and your application will not be accepted on the day.
Two smaller traps sit inside the same step. You choose your country of residence, not your citizenship, so an Indian passport holder living in Dubai selects the United Arab Emirates. Then you choose the mission responsible for your state or district; pick the wrong one and the application is not processed and you are asked to delete it and start again. One more line worth quoting to anyone selling you a shortcut: the mission states that it is not necessary to use an agent and that all forms and information are free of charge.
The four the decision rests on
Valid passport
The Indian missions want a passport issued within the last 10 years with at least 2 empty pages for the visa, and the page carrying your photo and personal details is what you upload. If your passport is close to full or close to its tenth birthday, renew it before you start the portal application rather than after.
Admission or study proof
Your admission letter from the university, or the admission letter to a preparatory college, or a confirmation of registration for a language course, depending on your route. If your admission is conditional, the conditions have to be stated in the letter itself. Original plus copies, and bring a spare copy of this one because it is requested more than any other. Proof of funds
The blocked account confirmation, currently 11,904 euros for the first year, is the core financial evidence. The blocking confirmation has to say that no more than 992 euros a month can be withdrawn, which is the sentence officers look for. Health insurance
A certificate of compulsory health insurance, public or private, valid from your intended date of arrival in Germany rather than from the day your semester starts. That gap catches people who buy cover keyed to the lecture timetable. You need insurance for the visa and again to enrol, so get the version that does both. See student health insurance in Germany.

APS, if your country requires it
Applicants from India, China, Vietnam and Mongolia need the APS certificate. The Indian missions list five exemptions and they are narrow: PhD or postdoctoral study, a scholarship funded from EU or German public money, studies leading to a non-German degree, a foreign degree that is not Indian, and an international school-leaving qualification such as the International Baccalaureate. If none of those describe you, the certificate is not optional, and the APS fee is not refunded whatever the outcome. See the APS process in each of the four countries.
Your academic and language record
What the mission actually asks for depends on your level. For a preparatory course or a bachelor's, that is your class 12 and class 10 mark sheets plus mark sheets for any semesters you already studied in India. For a master's or a PhD, it is your degree certificate plus a mark sheet for every semester. People bring the consolidated statement and get sent home for the per-semester sheets.
Two rules about the paper itself. First, you need the originals, or copies certified by a German authority. Certifications by Indian authorities or by a notary public are not accepted. Second, attestation and apostille of Indian documents are not recognised by German authorities and are not required for the visa, so paying an agent to arrange them buys you nothing. Verification of genuineness is a separate matter, and the checklist for your visa category says when it applies.
Alongside them, your English or German certificate, from a provider the mission recognises: Goethe-Institut or Max Mueller Bhavan, OeSD and telc for German, IELTS or another ALTE member for English. Duolingo, Pearson PTE and the TOEFL home edition are not recognised in India. The expected level is B1 German for a German-taught preparatory course, B2 English for an English-taught one, and generally C1 for direct entry to a bachelor's or master's. Extra financial evidence
The blocked account is the usual route, not the only one. A German or EU scholarship replaces it if the award actually covers 992 euros a month; a scholarship that only pays tuition leaves you needing proof of the rest. A sponsor living in Germany can sign a formal declaration of commitment, a Verpflichtungserklaerung, at their local immigration office and send you the original. An education loan is treated as an addition to the blocked account rather than a substitute, and the mission sets no minimum amount for it. If a document has been requested, bring it. If it has not but you have it, bring it anyway, because supplying it later costs weeks.
Photos and forms
Recent biometric passport photos matching your mission's size and background rules, with a couple of spares. Two or more is the usual requirement; they go on the form and on the visa sticker itself.
The paper form has largely gone. Applications made through the Consular Service Portal no longer need a separate online form on another website, because the questionnaire is built into the portal. Answer it truthfully: the portal routes you to a sub-type based on your answers, and answers that do not match your situation end with a request to delete the application and start over, which cannot be undone by editing.
What it costs and how long the wait runs
The national visa fee for applicants over 18 is 8400 INR, equivalent to 75 EUR, and 4200 INR or 37.50 EUR for anyone under 18, payable in rupees at the exchange rate on the day of your on-site appointment. It is a processing fee. It is not refunded if the visa is refused or if you withdraw. The external service provider adds its own service charge on top.
After that, expect to wait. The mission says processing can take several months depending on the category, there is no online tracking, and status inquiries will not be answered within the first three months because chasing slows the queue down. It also declines to pre-check documents by email; your file is checked at the appointment and nowhere else. If the answer is a refusal, note that remonstration in India was abolished from 1 January 2024, so the rejection letter points you at the administrative court in Berlin rather than at an appeal to the mission. Assemble it the night before
Sort the folder against the checklist at home, in checklist order, with originals separated from copies. Sorting paper in front of an officer is how items go missing, and a follow-up request adds weeks to a timeline already measured in months. The visa itself is issued with a validity somewhere between 90 days and a year, and you apply for a residence permit at the local Foreigners Authority after you arrive, so the folder gets used again in Germany.
